1.Who We Are

Timm Johnson AI Consulting LLC, doing business as Dakota Intelligence, is a sole-proprietor AI consulting firm based in Mitchell, South Dakota. We serve small businesses, agricultural operations, CPAs, law firms, realtors, trades, and municipalities throughout South Dakota.

Because this is a one-person firm, the answer to "who has access to my data" is short: Timm Johnson does. Nobody else.

2.What Information We Collect

We collect information only when you voluntarily provide it. That includes:

• Contact information — name, phone number, and email address submitted through booking forms, assessment tools, or calls with our AI assistant, Ava.
• Business information — industry, company name, team size, current tooling, and general descriptions of business challenges submitted through the AI Readiness Assessment.
• Call data — call transcripts and intake details collected through our VAPI-powered phone assistant when you call our business line.
• Engagement records — scope notes, deliverables, invoices, and correspondence generated in the course of a paid consulting or training engagement.
• Usage data — general, non-personally-identifying analytics about how our web tools are used, such as page views and session duration.

We do not collect payment card information directly. All payments are processed by Stripe, which maintains its own privacy policy and handles card data on its own systems.

3.How We Use Your Information

Information you provide is used only to:

• Schedule and conduct consultations
• Follow up on readiness assessments and service inquiries
• Deliver the educational content and resources you asked for
• Perform the consulting, training, and build work you have engaged us for
• Meet documentation requirements tied to a funded engagement, where applicable
• Improve our own services and tools

We do not use your information for automated decision-making that affects your legal rights, and we do not build advertising profiles.

4.Third-Party Tools We Use

Our operations run on the following third-party platforms. Each maintains its own privacy policy and data handling practices:

All tools are U.S.-based or operate under standard data transfer frameworks. We select vendors with strong security postures, and we do not authorize any of them to use your data for purposes beyond providing their service to us.

5.Data Retention

We retain contact and business information only as long as necessary to provide services or as required by applicable law. You may request deletion of your data at any time by emailing info@timmjohnsonai.com.

One exception, and we want it stated plainly. Records tied to a paid engagement that was reimbursed or cost-shared through a government funding program, including South Dakota's AI Adoption Workforce Funding, are retained as part of the required paper trail for that award. Paid invoices, scope documentation, and deliverable records connected to a state award are kept even if you later request deletion of other data, because both parties may need to produce them for the administering agency. Everything not tied to that award is still deleted on request.

6.Your Data Is Never Sold

There is no asterisk on that sentence. We do not run an ad business, we do not broker lead lists, and we do not hand your information to anyone outside the vendors listed in Section 4 who need it to make the service work.

7.Security, Children's Privacy, and Changes to This Policy

Data security

We implement reasonable security measures, including SSL/TLS encryption on all web properties, role-based access controls within our internal tools, restricted data access as a sole proprietorship, and regular security review of our application infrastructure. No system is one hundred percent secure. If you have a security concern, contact us directly and we will look at it.

Children's privacy

Our services are not directed at individuals under the age of 13, and we do not knowingly collect data from children.

Changes to this policy

We may update this policy as our tools or practices change. The effective date shown at the top of this page reflects the most recent revision. Continued use of our services after an update constitutes acceptance of the revised policy.
